Room Change Instructions

Living on campus in a new environment with people different than you can sometimes be challenging and finding your ideal room and roommates often takes a few attempts. That’s why we’ve made this guide.

People change rooms for many reasons, it may occur when your best friend lives around the corner and you’re switching to live with him/her, or you might not be compatible with your current roommate. Whatever the reason, it’s time you make the most of your current experience and prepare for the future.

Your first step is to contact the coordinator for your hall. Residence Life Coordinators (RLC) and their Assistants live in the residence halls and supervise on-campus communities. They are remarkable at providing you with a quality on-campus living experience and have gone through extensive training to handle room changes and other facets of residential living. RLCs have completed a master degree in higher education and their assistants are active USF students completing master studies in higher education administration.

Before making an appointment with your RLC you need to be prepared to answer a few questions. The philosophy Housing and Residential Education aspires to obtain is to provide students with a residential community that contributes to learning, personal development and citizenship. This is achieved by offering innovative programs and quality services in a safe living environment and by talking to each person interested in changing rooms to make sure it’s the best available option.

Questions to Consider:

  • Have you had a conversation with your current roommate?
  • If there is a problem, what have you done to address the current situation?
  • Have you discussed it with your RA and updated your roommate agreement form?
  • Have you researched the differences in price between our residence halls? Are you prepared for a potential increase in charges?
  • If there was a problem with your roommate or you were the problem, have you considered the possibility it will occur in another assignment? If so, what will your plan be for confronting the situation?
  • If there was a problem, how would you describe your ideal roommate? What will you do differently to ensure you communicate your needs with your next roommate?

Room Change and Check-out Instructions:

  • Talk to your Residence Life Coordinator or Assistant RLC to receive the room change paperwork. Then submit completed paperwork to the Assignments Office.
  • Pick up the key to your new assignment by submitting a copy of the room change form and key card to the area desk for which you are moving (Holly M or Juniper-Poplar Desk).
  • Make an appointment with your current RA to check out of your room -- submit the completed RCR and your key to the area desk you are leaving to avoid improper check-out and erroneous damage fees.
  • Make an appointment with the RA for your new assignment to sign a new RCR.

If you are leaving the halls, talk to your Residence Life Coordinator to receive contract cancellation paperwork (or visit the Assignments Office) then:
  • Submit your contract cancellation form to the Assignments Office.
  • Complete your Room Condition Report (RCR) with your RA.
  • Submit your RCR and room key to Holly M or Juniper-Poplar Desk.

Each student is required to meet with an RA to have his/her room inspected using a Room Condition Report (RCR) which must be signed by both the RA and resident before changing rooms or leaving campus. Once you are checked-out you should receive a copy of your RCR as a receipt of your stay on campus. If you fail to complete these tasks before returning your key, you may be charged an improper check-out fee. In addition, you may be found financially responsible for any damages to the room you were assigned. If you have questions regarding your contract, please contact the Assignments office at 974-0001.

Remember: It is against Housing and Residential Education policy to switch rooms or trade keys with someone without following the proper room change procedure. There are financial penalties for improper room changes and check-outs.
